# Stop ACH return-code chaos: AI triage, governed retries, and audit-ready outcomes

ACH returns are operationally noisy: the same “failed payment” can mean **bad account data** , **insufficient funds** , **unauthorized activity** , or **file/format issues**. When teams handle these in spreadsheets + Slack, you get:

- Inconsistent decisions (someone retries when they shouldn’t)
- Missed SLAs (returns sit unworked)
- Weak auditability (no clear “who approved what and why”)
- Duplicate or conflicting actions (multiple retries, multiple customer outreaches)

This is a classic **action-execution gap** : AI can _suggest_ what to do, but finance ops needs **deterministic, governed execution**.

## Why AI alone is risky here

- Return codes can be ambiguous in practice (bank-specific nuances, partial data, mixed signals).
- A “retry” is a financial action with customer impact and potential compliance implications.
- If an LLM hallucinates a rule (e.g., retries allowed for a code when they aren’t), you can create repeat failures, customer harm, and audit findings.

**Principle:** _AI suggests, Autom Mate executes under control._

## End-to-end workflow (Autom Mate-orchestrated)

### 1) Trigger

- **Trigger:** New ACH return file arrives (e.g., SFTP drop) or a processor posts a webhook event.

- Parse the return record(s) and validate required fields:

- Enforce **schema checks** and **dedupe** :

### 3) AI triage (advisory only)

- AI classifies the return into a **policy bucket** :
  - `retry-eligible`
  - `needs-bank-details-fix`
  - `potential-unauthorized`
  - `needs-ops-review`

- AI outputs:
  - Suggested next action
  - Confidence
  - Evidence used (fields + any internal notes)

### 4) Approvals (human or policy-based)

- **Policy-based auto-approval** for low-risk, deterministic cases:
  - Example: R01 (insufficient funds) → retry once after X days (within your policy)

- **Human approval required** for higher-risk buckets:
  - “Potential unauthorized”
  - High-dollar thresholds
  - Repeat return patterns

Approval request can be routed to your existing channel (e.g., Teams/Slack) via **REST/HTTP/Webhook action** if you don’t have a native library for your chat tool.

### 5) Deterministic execution (the critical part)

Autom Mate executes only **pre-approved runbooks** :

- **Retry debit** (only if policy says allowed)
  - Create a new debit attempt in your payments system (REST/HTTP/Webhook action)

- **Request updated bank details**
  - Send a templated message/email and open a case/ticket (REST/HTTP/Webhook action)

- **Place customer/account hold**
  - Update internal risk flag / block further debits until reviewed (REST/HTTP/Webhook action)

- **Create an ops ticket**
  - Route to the right queue with all parsed fields + AI recommendation (REST/HTTP/Webhook action)

### 6) Logging / audit trail

- Log every step:
  - Trigger payload hash
  - Validation results
  - AI recommendation + confidence
  - Approval decision (who/when)
  - Execution actions taken + external IDs
  - Final status

Autom Mate supports execution logs, monitoring, and audit-oriented controls.

### 7) Exception

- If execution fails (API timeout, downstream rejection):
  - Autom Mate error handling routes to an exception path:
    - Retry with backoff (bounded)
    - Escalate to ops
    - Mark record as `needs-manual-intervention`

- If a partial action succeeded (e.g., ticket created but retry failed):
  - Compensating action: update the ticket with failure context and prevent duplicate retries via the idempotency key.

Autom Mate supports error handling and exception management patterns for reliable automation.

## Integration labeling (per st library:\*\* Use an Action Library _only when it exists_ (prebuilt, no manual REST configuration).

- **REST/HTTP/Webhook action (fallback):** For your ACH proceM, ticketing, or messaging system if no library is available.

## Two mini examples

### Example A — R03/R04 (bad account data) → “fix details” path

- Trigger: Return file includes `R03` or `R04`
- AI suggests: “Do not retry; request corrected account/routing; open ops case.”
- Approval: Policy auto-approves “customer outreach + ticket”
- Execution:
  - Create a ticket with the return record
  - Send customer a secure bank-details update request
  - Block further retries until details updated

### Example B — Repeat returns pattern → “risk review” path

- Trigger: Same customer has 3 returns in 14 days
- AI suggests: “Potential fraud / account takeover; place hold; escalate.”
- Approval: Human approval required (risk ops)
- Execution:
  - Place hold flag
  - Create risk case
  - Notify finance ops channel

## Discussion questions

- Which return-code buckets do you allow for **policy auto-approval** , and which always require a human?
- What’s your preferred **idempotency key** for return handling (trace ID only, or trace+code+date)?
