# ACH return codes are signals — but your response must be governed

ACH returns like **R06 (Returned per ODFI’s request)**, **R08 (Payment stopped)**, **R09 (Uncollected funds)**, and **R10/R11/R29 (unauthorized variants)** are operationally _different problems_ that often get handled the same way: a spreadsheet, a Slack ping, and a manual “retry or refund” decision.

That’s where teams get hurt:

- You **retry** an entry that should _never_ be retried (e.g., unauthorized)
- You **don’t retry** entries that are safe to retry (e.g., uncollected funds)
- You can’t prove **who decided what** , **why** , and **what was executed**

Nacha guidance highlights that “unauthorized” is not one monolith (e.g., R10 vs R11), and operational handling should reflect that. ([nacha.org](https://www.nacha.org/rules/differentiating-unauthorized-return-reasons?utm_source=openai))

## Why AI alone is risky here

AI is great at:

- Summarizing return context
- Suggesting likely root cause
- Drafting customer/vendor comms

AI is _not_ safe to directly:

- Trigger retries
- Issue refunds
- Change customer status
- Update ledgers

Because the same return code can still have edge cases, and the cost of a wrong action is high (customer harm, compliance exposure, return-rate monitoring issues).

**Principle:** _AI suggests, Autom Mate executes under control._

Autom Mate can enforce:

- **Deterministic execution** (only pre-approved actions run)
- **Approvals** (human or policy-based)
tion\*\* for every step and decision

# End-to-end workflow: Governed ACH return handling (triage → approval → deterministic actions)

## 1) Trigger

Pick one:

- **API trigger** from your payment processor / bank ops systes (preferred)
- **Email trigger** if your return notifications arrivcheduled trigger\*\* to poll a returns report every N minutes

## tes before any action)

- Validate required fields: `return_code`, `trace_id`, `amount`, `effective_date`, `customer_id`
- De-duplication check: `trace_id + amount + effective_date` (don’t process the same return twice)
- Policy classification:
  - **Funding/administrative** : R06, R08, R09
  - **Unauthorized** : R10, R11, R29 (treat as high-risk)

(These code definitions are widely published and consistent across references.) ([support.worldpay.com](https://support.worldpay.com/support/iq-reporting-and-analytics-user-guide/content/ach_return_reason_codes.htm?utm_source=openai))

## 3) AI-assisted triage (suggestion only)

- Use **My GPT (Autom Mate library)** to:
  - Summarize the return event + customer history
  - Suggest next step: “retry”, “stop retries”, “request new authorization”, “escalate to compliance”, etc.

- Output must be a **recommendation object** (no direct execution)

My GPT integration supports threaded conversations and can be embedded into workflows.

## 4) Approvals (human or policy-based)

Route by code + amount + customer segment:

- **R09 (Uncollected funds)**
  - Policy-based approval if under threshold and retry count \< N

- **R06 (Returned per ODFI request)**
  - Human approval required (often indicates duplicate/erroneous entry)

- **R10/R11/R29 (Unauthorized)**
  - Mandatory human approval + compliance review

If you run an agent experience, use **Supervised Mode** so the agent proposes actions and pauses fsoning visible in logs.

## 5) Deterministic execution (VERY IMPORTANT)

All actions must be explicit, pre-modeled steps:

- **REST/HTTP/Webhook action** : call your payments platform to set `retry=false` or `retry_at=...`
- **REST/HTTP/Webhook action** : create a case in your case-management system
- **REST/HTTP/Webhook action** : post a ledger adjustment request (not the adjustment itself unless your controls allow it)
- **Autom Mate library** : Microsoft Teams or Slack notification to the right queue (if installed/availabt)

## 6) Logging / audit trail

Autom Mate should log:

- Trigger payload hash
- Validation results
- AI recommendation (as text + structured fields)
- Approver identity + timestamp
- Exact action executed + response payload

Autom Mate supports audit logs, access controls, and retention-oriented controls for compliance.

## 7) Exception handling / rollback

Use Autom Mate error handling to:

- Retry transient failures (e.g., 429/5xx) with backoff
- Escalate to an ops channel if execution fails
- Compensate when possible (e.g., if “set retry=false” fails after “case created”, update the case with failure state)

Autom Mate supports defining error handling rules and alerting on failed executions.

# Two mini examples

## Example A — R09 (Uncollected funds): safe, governed retry

- Trigger: return event arrives
- Validation: retry\_count \< 2, amount \< $500
- AI suggests: “retry in 3 days; notify customer”
- Approval: policy auto-approves
- Execution (deterministic):
  - REST/HTTP/Webhook action → schedule retry
  - Autom Mate library → Teams message to AR queue with summary

- Audit: logs include policy decision + API response

## ExamUnauthorized): stop retries + compliance workflow

- Trigger: unauthorized return
- Validation: classify as high-risk
- AI suggests: “stop retries; request updated authorization; flag account”
- Approval: mandatory human approval (Supervised Mode)
- Execution (deterministic):
  - REST/HTTP/Webhook action → disable future debits for mandate
  - REST/HTTP/Webhook action → open compliance case + attach AI summary

- Audit: approver + rationale captured end-to-end

# Discussion questions

- Which return codes do you currently treat as “auto-retry,” and which ones _should_ require approval?
- If an auditor asked “why did you retry this debit?”, could you produce the full chain: signal → decision → approver → executed action?
