Govern chargeback representment with approvals, evidence validation, and audit

Problem: chargeback evidence is “AI-draftable” but not safely “AI-submittable”

Chargeback representment is a classic fintech ops trap:

  • Evidence lives in 6+ systems (gateway, CRM, support, shipping, device/3DS, logs)
  • Deadlines + formatting rules are strict
  • Teams end up with a messy mix of spreadsheets, copy/paste, and “best effort” submissions

AI can help draft a response, but letting AI submit evidence directly is risky:

  • Wrong reason-code mapping → instant loss
  • Missing required artifacts → auto-decline
  • Submitting PII over the wrong channel → compliance incident
  • Duplicate submissions / wrong case updates → audit + operational chaos

1) Trigger

  • Trigger: New chargeback/dispute event from your PSP/disputes platform
    • Integration: REST/HTTP/Webhook action (incoming webhook)
  • Create/Update a tracking ticket for ops visibility
    • Integration: Autom Mate library (ServiceNow or Jira, if that’s your system of record)

2) Validation (policy + data comple required fields** exist: case_id, network, reason_code, amount, txn_id, deadline

  • Capability: Autom Mate workflow logic + validation + conditional branching
  • Policy checks (examples):
    • If reason_code indicate,evice signals
    • If “not received”, require carrier proof + delivery confirmation
    • If “canceled/refunded”, require refund timestamp + proof of cancellation policy

3) AI assist (suggestion only)

  • Ask an LLM to draft:
    • A short narrative
    • A checklist of required artifacts for this reason_code
    • A confidence score + “missing items” list
  • Integration: REST/HTTP/Webhook action (call your LLM endpoint)

Guardrail: the AI output is never used as an execution instruction. It’s treated as a suggestion that must pass deterministic checks.

4) Approvals (human or policy-based)

  • Policy-based auto-approve only when:
    • All required artifacts are present
    • Amount < threshold
    • Customer risk tier is low
    • No PII policy violations detected
  • Otherwise:
    • Send an approval request to a designated queue
    • Integration: Autom Mate library (Microsoft Teams/Slack/WhatsApp) for approval prompts and decision capture

5) Deterministic execution (the “submit” step)

  • Build the evidence packet deterministically:
    • payload (JSON) + attachments list
    • Enforce naming conventions + required fields
  • Submit representment via your disputes/PSP API
    • Integration: REST/HTTP/Webhook action (outbound API call)

6) Logging / audit trail

  • Log:
    • Trigger payload hash
    • Evidence artifacts collected (IDs + timestamps)
    • AI ahority)
    • Approver identity + decision + time
    • Submission request/response (redacted where needed)

7) Exception handling + rollback

  • If submission fails (timeouts/5xx/429):
    • Use Autom Mate error handling to retry with backoff
    • If still failing, open/rot the on-call channel
  • If the wrong case was updated (operator error / mapping bug):

  • Validation: require 3DS result OR device fingerprint match OR prior successful login evidencer100 and strong auth evidence exists
  • Execute: submit evidence packet + attach auth logs
  • Log: store approver + evidence IDs + submission response

Example B — “Item not received” dispute

  • Trigger: dispute.created webhook
  • Validation: require carrier + tracking + delivery confirmation
  • Approval: if delivery proof is “signature required” and present → auto-approve; else human review
  • Execute: submit packet with tracking + support transcript excerpt
  • Exception: if carrier API is down → retry; then route to ops ticket
