Autom Mate Team · Practical example
An invoice arrives, but nobody knows who should approve it. Start by automating the handoff and keeping the decision in the approval system your finance team already uses.
Build this small flow:
- Capture the invoice reference. Take a submission from a form, mailbox or business application. Collect supplier, invoice number, amount, currency and department.
- Check what is missing. Ask the requester for missing fields instead of guessing them. If AI extracts document details, treat uncertain values as needing review.
- Choose the owner. Use a simple department-and-amount rule. Keep the approval thresholds in one agreed table.
- Create the approval request. Use the destination application’s supported action or API. Include the invoice reference and a link to the document in its access-controlled location.
- Read back the decision. Record approved, rejected or awaiting information, then notify the requester.
Example: an IT software invoice goes to the IT budget owner; an amount above the agreed threshold also requires finance approval.
Done when: a complete invoice reaches the correct owner, an incomplete one is returned for clarification, and no payment is made by this flow.
Start with trigger options.
