Software access requests: check the licence before promising access

Autom Mate Team · Practical example

Connect a software request to a licence check, an application action and a clear result with Autom Mate.

Build one application journey

  1. Collect the request. Ask for the application, requester, required role, business reason and duration.
  2. Check the current state. Look for an existing account or entitlement and, where your system exposes it, available licence capacity.
  3. Get the required decision. Use your established approval process. Route unavailable capacity or paid upgrades to the responsible owner.
  4. Provide the approved access. Call the configured application or identity action. If this step must remain manual, create a clear fulfilment task instead.
  5. Verify and notify. Read back the role or entitlement and send the appropriate activation instructions.

Example: a reporting-tool request may need viewer access rather than a paid editor licence. Make that choice explicit before fulfilment.

Start with one application. Keep purchases outside this first flow unless a separate authorised purchasing step is configured.

Completion check: the correct account has the approved role, or a named team owns the outstanding fulfilment. “Approved” alone does not mean access is ready.
