Contractor access expiry: turn an end date into a clear renewal decision

Autom Mate Team · Practical example

Use an Autom Mate flow to check contractor access expiry dates and give each renewal decision an owner.

Start with one access type

  1. Read the current contractor list. Use your approved HR, identity or access register, including a stable person ID and expiry date.
  2. Find access approaching expiry. Run a scheduled check and identify the sponsor responsible for each decision.
  3. Request a renewal decision. Send the sponsor a concise request through your existing approval channel. Store the decision against the access record.
  4. Apply the agreed rule. Extend only after approval. Otherwise follow the organisation’s expiry process; route unclear or disputed cases to the owner.
  5. Verify the result. Read back the new end date or access state and notify the sponsor.

Useful inputs: contractor ID, sponsor, application or group, end date, renewal deadline and request reference. Use a consistent time zone.

A good first version covers one application rather than every contractor entitlement at once.

Completion check: each due record has a confirmed renewal, confirmed expiry action or an explicitly assigned exception. A reminder being sent does not mean access was reviewed.
