Shared mailbox access: make the permission request precise

Autom Mate Team · Practical example

“Give me access to the finance mailbox” could mean reading messages, sending on behalf of the team, or both. Resolve that before changing permissions.

A useful first flow

  1. Capture a specific request. Ask for the mailbox, requester, permission type, business reason and any end date.
  2. Find the mailbox owner. Validate both records and route approval through your process.
  3. Check current permissions. If the requested access already exists, report it rather than applying the same change again.
  4. Apply the approved change. Use the supported mail-platform API or an authorised script action in your environment.
  5. Read back and notify. Confirm the assigned permission and explain any remaining user-side setup.

Example request: access to a team mailbox for holiday cover, read access only, ending on an agreed date. Keep sending rights as a separate choice.

This pattern needs a configured action for your mail platform. It does not assume that every mailbox permission is available as a native Autom Mate action.

Completion check: the intended user has exactly the approved mailbox permission. A request marked “done” is not evidence of effective access.
