Device handover: connect the request, asset record and acceptance

Autom Mate Team · Practical example

Connect device handover to the final asset-register update with an Autom Mate flow.

Start with the record changes

  1. Collect the handover details. Capture the request reference, employee ID, asset tag, location and planned handover date.
  2. Check the asset. Read its current owner and availability from your asset system. Route conflicting assignments for review.
  3. Prepare the work. Create or update the fulfilment task for the team handling setup and physical delivery.
  4. Record acceptance. Use the organisation’s existing confirmation process to establish that the intended person received the device.
  5. Update and verify. Write the new owner and status to the asset record, read them back and close the request when the agreed checks pass.

Example: a replacement laptop needs both a new-device handover and a separate old-device return task. Do not lose one when completing the other.

Start with one asset type. Physical receipt is a human confirmation; an API response cannot prove that a box arrived.

Completion check: the asset record matches the confirmed recipient and any return or setup work remains visible.
